If we change the status to returned the animal doesn't appear on our website.

We track it by changing the status of the adoption to "Return" instead of "Success." Then you can just change the status of the animal back to Available. If you want to see a list of all the returns you've had, you can then create a report on adoptions and filter it to only show adoptions with the status "Return." Just make sure you change the status of the adoption BEFORE you change the status of the animal - I found out the hard way that any time you edit the adoption (even to change the status to Return), the animal's status is changed to Adopted.

      Hope this helps!

Brittany, you might want to add a Request for us to have an option to change the animal's status -- and it seems reasonable that the animal's status optionally change back to Available when an adoption's status is changed to Returned.

We find the cleanest way to handle it is to mark as returned, and rather than set to available again, we enter a new listing for the dog in intake status and make available, when the dog is ready.

Our rationale, is that if the same animal listing is used, once the dog is adopted again, the original adopter information gets replaced with the new adopter information.  We like to keep track of our failures.  Sometimes the return is for good reason, other times it's so ridiculous that you want to gag (dog eats poop, can't possibly keep it)

Also, on the finance side, and depending on the length of time that the adopter has had the dog and/or the reason for return, there may or may not be a refund of the adoption fee.  This helps us track the adoption revenue better.

Ann, When an animal adoption is tracked and returned in the process I outlined, the new adopter information is added, but the original adopter information is retained as well. At the top of the animal you will see Adoptions (2). So both adoptions are tracked with the adopter contact information under that single animal. You can track any files you may have uploaded and stored with this animal and any forms that were submitted all under that one animal. If a fee was refunded you can update the adoption and change this to $0.

      Hi Alicia,

Here's more information on how to process Returns and have them appear on your website again.

It's two steps: 1) changing the status of the adoption from success to return 2) changing the status of the animal from adopted to something else.

By processing the adoption return, this will keep the data integrity of the original adoption and make the animal available for adoption again. Not all organizations want to make the animal that was returned immediately available, instead they may prefer to change the status to hold or intake and then determine if it's okay to make the animal available on their website. Once you're ready, just change the animal status to available.

Note: Tracking adoptions and adopters is available with the Data Management Service and Website Service.
