      Victoria,

You would create a User Login for your Volunteer and Assign Roles/Permissions to her User Login. You will also want to update her contact record to add her to the contact group Volunteer and Caretaker/Foster.

There are additional features and functionality depending upon your level of service, so if you have additional questions, please be sure to open a support ticket with us: https://rescuegroups.org/support/

You and your volunteers may also find these Training Videos helpful:

        Michelle,

I there any place in the RG Documentation that shows what groups a Contact needs to be in for certain things to run smoothly in RG? For instance, you have to be the in Caretaker/Foster group for someone to be assigned as a foster. Is that documented anywhere? Also, I just had a question because a contact with a login and User Role of Volunteer and Online Form User couldn't assign a form to themselves. I checked and this contact was not in the Group "Volunteer". Does that affect their ability to make changes in RG?

        Andrea,

Each level of service will have different levels of access available and different combinations available.

You can refer to this user guide page on Roles and Permissions for an overview: About roles, security, and permissions

Contact Groups are not the same as User Logins with Roles. A contact in the contact groups Volunteer or Caretaker/Foster will appear in some dropdowns, but that does not grant them access to your service to do any tasks. That is managed by a user login with permissions added to their User Login.

If you have specific questions that are not answered in the guide, please open a support ticket and include your account number so we can look up your level of access and provide you with more specific information.

        Warmly,

        Michelle

I understand the different between a User Role and a Contact Group. What I was asking is, does the RG User Guide explain the implications of the different contact groups? I didn't see it anywhere, so maybe you guys should add it. The example I gave was a contact can have a Login AND User Role to assign submitted forms to themselves, but will be UNABLE to do it if they are not in the Volunteer Contact Group. In most cases Contact Groups do not affect anything except pulling reports, but in cases like that or the Caretaker/Foster, it does affect things a lot.

I don't need to have a support person answer a question I have about how RG works because I know how it works, I was only trying to be helpful and see if you needed to add anything to your User Guide. Maybe I shouldn't have put it in this Question, I just didn't see anywhere else to make the comment.

        Andrea,

The Volunteer and Caretaker/Foster groups change who appears in certain dropdowns and reports. Contact groups do not allow them any access or any permission to do anything in your RescueGroups.org account.  For example, a volunteer in the Contact Group "Volunteer" would appear in the dropdown to assign a form to them. They would not have access to your account unless permission was granted. Similarly, if a foster home is added to the Contact Group "Caretaker Foster" then you could select their name in a drop down on the animal record as the foster home.

Because each level of service is different, you would refer back to the list of Roles/Permissions in our User Guide to see what combination of roles you would need to add to a user login for a volunteer.

If you would like to suggest any edits to the documentation, you may want to add a feature request here: How can I submit a feature request or idea for an improvement to the RescueGroups.org services?

        Warmly,

        Michelle

I have tried several times to assign forms to  volunteer but that person will always gets an error message when I try to give them a user id it tells me that the email address has already been used, , they do not want to get another email address, and then some volunteer already have a user account..not sure what I am doing wrong to get them up and running..
