We're trying to use contact reminders for the following scenario: We have a data entry volunteer entering adoption information. Some kittens are too small to be fixed before adoption. We need to set up a reminder for a different volunteer (Spay/Neuter Coordinator). Since an animal journal entry cannot be assigned to a different person, we're going to use the Reminder under the Contact to be able to assign it to the Spay/Neuter Coordinator.

1) Is there a better way to do this?

2) At first we weren't getting the reminders via email, but they did arrive two days after selected reminder date. HOWEVER - All the email says is:  Dear Sharyn, Kathryn created a reminder for you on the Animal Allies Florida web
site. The following is the comment that was added to the reminder: Testing 2

Kathryn is the adopter's name. But this reminder doesn't tell me anything of worth. What's Kathryn's last name? Why isn't last name included in the Reminder Email? The data is certainly available. Where do I find the reminder she created for me? She didn't create the reminder, I did. Obviously, I realize I could put more information in the comment, but putting in her full name is redundant since it's in the system.

What's the required date for when you set up the reminder? I set the date for the when the reminder was to be sent, but they didn't show on that day?

Can you set reminders for the same day?

Where's the reminder I sent? After it's sent via email does it complete/delete? The email message makes it sound like I can go out to the website and find the reminder. BUT WHERE? no link in the email and when I check Kathryn's contact file - there are no reminders.

Inquiring minds wanna know. Please advise. Thanks!

      Hi Sharyn,

Let me try to answer your questions here.  However, if you need more clarification we would encourage you to open a support ticket: https://rescuegroups.org/support/

I'll break your questions up loosely below:

1.Is there a better way to send reminders about kitten fixing than contact reminders?

Yes, I would advise animal journals (vs. Conatct reminders).  They have more flexibility and still can be used as reminders.  There are both Journal Entry Reminder Dates and Due Dates. Both of these fields are available to you in a journal entry. By adding a reminder date, RescueGroups.org will send an email to the person who entered the reminder on that date but there is no history of reminders and you can't look at overdue reminders. Think of this feature as your alarm clock. If you include a due date, you won't get an email on that date, but you can create reports to view upcoming and overdue journal entries. Due dates will not go away until you remove it, so overdue dates will "stick". Here's more about journal entries in our User Guide:

      2. All the email says is:  Dear Sharyn, Kathryn created a reminder for you on the Animal Allies Florida web why?

That is because this is a contact reminder, so it gives you the name of the contact as it is a reminder to contact that person.  The email is sent to the person who created it as a reminder.  Almost like saying "hey contact person XX".   They should so up under the contacts page.

You should be able to send Reminders for the following day in any instance.  If you are encountering situations where you are expecting an email and not receiving it, please open a support ticket so we can troubleshoot your account directly!

      Sincerely,

      Karen
